When you submit an enquiry via our website
When you submit an enquiry via our website, we ask you for your name, contact telephone number, preferred contact time and email address. We use this information to respond to your query, including providing you with any requested information about our products and services. We may also email you several times after your enquiry in order to follow up on your interest and ensure that we have answered your it to your satisfaction. We will do this based on our legitimate interest in providing accurate information prior to a sale.
Your enquiry is stored and processed in our Customer relation management system. That information is then held until that enquiry proceeds. When the enquiry doesn’t lead to a deal, your information becomes archived and no longer used until a new enquiry is made. Only employees of 21st Century Motors can access this information via a password protected system.
We keep enquiry emails for 2 Weeks, after which they are securely archived and kept for two years, when we delete them. CRM records are kept for two years after the last contact with you.If an order is placed with us, your CRM profile will be archived once the order process has been completed.
We do not use the information you provide to make any automated decisions.
When you purchase a product from our website
When you purchase products from us online, we ask you for your name, address, contact telephone number, driving licence photocard, passport (If a driving licence cannot be provided at the given time), email address and credit card information. We also record your IP (Internet Protocol) address, which is the address of your computer on the Internet.
We will use your information to verify your credit card details for your purchase, process your order and arrange for your products to be sent to you. We will also send you a receipt via email and we may use your telephone number to contact you regarding your purchase.
We require this information in order to process your payment, deliver your products or services and fulfil our contract with you. We record your IP address in order to show that the correct tax was applied to the sale, which we are required to do by law.
Your information is stored on our website and on our cloud server. Information stored on the website is in the European Union. The information on our cloud server is held in the USA. Your credit card details are passed to a third-party payment processor which is based in the USA and is certified to the EU-US Privacy Shield (which requires effective safeguards for your information). We do not retain your credit card information. We will keep your order information for the duration of your finance agreement.
We do NOT use the information you provide to make automated decisions
In most cases, the data sent to us is placed in a password protected customer relation management system. Only employees at 21st Century Motors can access this information.
In other cases, if data sent to us isn't required to be held, we will process the data and then delete it immediately. Examples of this would be copies of customer Driving Licences and Proofs of address, as we will no longer require that data.
If and when we need to share the documents you provide to us with the finance company, we ensure that the documents are sent over a password protected email link that is given an expiry date as well as a tracker that allows us to identify when the file has been downloaded and by whom it was downloaded by. Documentation can only be downloaded and accessed by the recipient of the email.
When you use our website to browse our products and services and view the information we make available, a number of cookies are used by us and by third parties to allow the website to function, to collect useful information about visitors and to help to make your user experience better.
